This feature is in beta. Some calibration may still be needed for figures to be fully accurate. We'd love your feedback as we refine this feature.
The EBITDA page analyses your clinic's earnings before interest, taxes, depreciation and amortisation. EBITDA is a widely used measure of a practice's underlying profitability, stripping out costs that vary based on financing decisions or accounting policies.
Setup
Before EBITDA figures can be calculated, you'll need to complete the following steps:
Connect your accounting system — connect Xero or iplicit via Settings > Integrations to import financial data.
Categorise your accounts — assign accounts to cost of goods sold (COGS), operating cost and lab cost categories in Settings > Accounting. EBITDA will not be calculated until at least COGS and operating cost accounts have been assigned.
A setup guide on the page will track your progress through these steps.
Sub-categories
Each reporting category (COGS, operating costs, lab costs) can be broken down into sub-categories to give you more granular reporting. For example, you might split operating costs into 'Rent', 'Utilities', 'Insurance' and 'Marketing'.
Sub-categories are configured in Settings > Accounting. When you assign an account to a reporting category, you can optionally assign it to a sub-category within that category. Sub-categories then appear as expandable rows in the monthly breakdown table, letting you drill into exactly where costs are coming from.
Sub-categories are optional. If you don't configure any, the breakdown table will show totals by top-level reporting category only.
Headline Metrics
The headline cards at the top of the page summarise performance across the selected date range.
Revenue — total reconciled revenue from your accounting system over the period.
COGS — total cost of goods sold, including materials and lab costs directly associated with delivering treatment.
Operating Costs — overheads such as rent, utilities, staffing and other running costs.
EBITDA — revenue minus COGS and operating costs. This is the key profitability metric for your practice.
EBITDA Margin — EBITDA as a percentage of revenue.
EBITDA Trend
The trend chart shows monthly EBITDA over the selected period, giving you a visual sense of how profitability is changing over time.
Monthly Breakdown
The monthly breakdown table provides a detailed view of revenue, COGS, operating costs and EBITDA for each month. Each cost row can be expanded to see individual account-level figures, and where sub-categories have been configured, an intermediate grouping is shown.
Reconciliation
EBITDA figures are based on reconciled transactions from your accounting system. If there are unreconciled transactions in the selected period, a warning banner will appear at the top of the page indicating the number and value of unreconciled transactions by month.
If all transactions in the selected period are reconciled, an informational banner will confirm that figures are based on reconciled data. Recent months may still appear lower if reconciliation is still in progress.
We recommend keeping your accounting system up to date with reconciliation to ensure the most accurate EBITDA figures on Medfin.
